Receptionist/Office Assistant We are looking for an Office Assistant to manage our front desk on a daily basis who will contribute to a positive first impression for visitors.
As a Front Desk Office Assistant you will be the first point of contact for the company. You will welcome guests and greet people who visit with a warm and friendly demeanor. You are expected to answer, screen, and direct incoming phone calls in a professional and courteous manner. You will coordinate front-desk activities, including sorting and distributing correspondence and providing administrative and clerical support across the organization. Duties also include managing the reception area, ensuring it is clean, organized, and presentable at all times and maintaining and managing office supplies inventory, placing orders when necessary to ensure continuous office operations You will be responsible for handling incoming and outgoing mail, packages, and deliveries, ensuring timely distribution to the appropriate departments or individuals by the end of the day. Additionally, you will perform other clerical receptionist duties such as filing, photocopying, scanning and faxing. The Office Assistant will also process all paperwork received from the Field Crews and prepare Foreman Notebooks on a monthly basis and document and coordinate delivery before the first of every month. You will also be tasked with Special Projects as needed.
To be successful as an Office Assistant you should have a pleasant personality with o utstanding time-management skills and an ability to organize and coordinate multiple concurrent projects. Ultimately, the Front Desk Office Assistant duties and responsibilities are to ensure guests are welcomed positively, and executes all administrative tasks to the highest quality standards.
Requirements and skills - Excellent written and verbal communication skills
- Outstanding interpersonal skills, proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency with computer, telephone systems, scanners, printers, etc.
- Professional attitude and appearance
- Reliable and punctual
- Ability to be resourceful and proactive when issues arise
- Maintain confidentiality
- Flexible team player, willing to adapt to changes and unafraid of challenges

Physical and/or Mental Requirements While performing the duties of this job, the employee is frequently required to sit for long periods of time; walk and stand; use hands and fingers to operate keyboards, printers, telephones, fax machines or other office equipment; hearing and speech to communicate in person and over the telephone; vision to read printed material and a computer screen; lift and/or move up to 20 pounds and heavier weights with the use of proper equipment .

Wages This position is paid as an hourly wage starting at $20.00 an hour depending on experience.
